Job Description: Our fast-paced Conference Experiences team is seeking a Registration Specialist to lead registration for large conferences.  


The Registration Specialist will be responsible for all conference registration needs, including website development, internal and client-facing communications, reporting, and onsite registration management. This role requires vigilance with deadlines, experience with vendor relationship management, scheduling, details, and multi-tasking, and will need to maintain focus and professionalism throughout the conference planning process. He/she will work cross functionally on multiple projects simultaneously.

Responsibilities Include:

  • Gathering internal web requirements, translating programming needs to a selected vendor partner

  • Oversee conference support staff training

  • Leads and manages communication/actions around registration and air needs, status meetings, and continuous communication throughout program

  • Testing websites and applications for functionality and quality control

  • Writing and proofing internal and client-facing registration communications

  • Develop and manage multiple projects, milestones/deadlines, and key deliverables

  • Support large and complex event-related projects to ensure expected outcomes are delivered on time and on budget

  • Participate in cross-functional teams to support project goals and to enhance planning processes

  • Navigate roadblocks and provide thoughtful solutions

  •  Extensive phone/email interaction with clients, internal and external partners

  • Develop and lead the on-site registration process for different participant types

  •  Manage onsite badging, registration materials, and walk up registration process

  • Trains and provides oversight to the onsite temporary staff to facilitate registration




Required Qualifications :

Education and Experience Required:

  • Bachelor’s degree required (prefer focus in Event Planning, Hospitality, Marketing, or similar)

  •  Minimum of 5-7 years of meeting planning experience at a hotel, association, corporation, DMC, or similar (1-2 years must have been in a corporate environment)

  • Web development in Cvent and custom platforms


Knowledge and Skills Required:

  • Full understanding of event planning, operations, and marketing; experience in the financial sector a plus

  • Awareness and understanding of current registration technology

  • Autonomous worker with the ability to balance and prioritize multiple projects simultaneously in a fast-paced, high stress environment

  • Ability to see big picture while thoroughly completing all projects by identifying and utilizing the most efficient methods to execute each project and task

  • Strong analytical skills with ability to trouble shoot and problem solve

  • Flexibility and adaptability to unexpected demands a must

  • Superior business written and verbal communication skills with the ability to work across all levels in an organization

  • Proficient use of Microsoft Office Suite

  • Excellent time management and organizational skills

  • Resourceful, self-motivated, enthusiastic

  • Team player who is willing to roll up their sleeves dive in where needed 

  • High level of tact and diplomacy

  • Know each event is a personal experience and make it easy for clients

  • Understand company policies and use best judgment to determine best outcome

  • Ability to travel 20% of the time

Salary: ($20 - $25) / hour
